1. About me and these terms

These terms apply whenever you buy coaching from Elite Mindset Coach. Please read them before you pay; ticking to accept them at checkout means you agree to them.

In these terms, "I", "my", "me", "we", "us" and "our" mean Elite Mindset Coach.

Who these terms apply to.

My coaching is for young athletes, usually aged 8–18. The parent or legal guardian who books and pays ("you") is my customer and agrees to these terms on behalf of themselves and the athlete. If you are booking for an athlete over 18, they must agree to these terms themselves.

2. My services

I provide mental performance coaching for young athletes, delivered live online over Zoom:

1:1 programmes: the Development, Performance and Elite programmes, each a set number of individual sessions over an agreed period.

The Inner Circle Graduate Program: a monthly live group session for athletes who have completed a 1:1 programme.

Coaching is not therapy. My coaching is based on positive psychology and helps athletes build confidence, resilience and focus in sport. It is not counselling, therapy, or medical or psychological treatment, and I do not diagnose or treat any condition. If you have concerns about an athlete's mental health, please speak to your GP or a qualified health professional. In an emergency, call 999.

No guaranteed results. Every athlete is different. I will always give my best, but I cannot guarantee particular results, selections or performances.

3. 1:1 programmes

Price and payment. The price is the one shown when you book. You can pay in full, or by the payment plan offered at booking. If you choose a payment plan, you agree to pay every instalment on time, even if the athlete stops attending. Should payments be late or missed, sessions will be paused until payments are up to date.

Booking and rescheduling - Sessions are booked through our booking link or directly agreed with Matt. If you need to move a session, please give at least 24 hours' notice and I will rebook it within the programme period.

Missed sessions - A session missed without that notice, or more than 10 minutes late without contact, counts as used and cannot be rebooked.

Programme length - Sessions should be used within the programme period (e.g. four months). Unused sessions after that period expire unless we agreed with Matt.

4. The Inner Circle Graduate Program

Who can join - Athletes who have completed a 1:1 programme with us

.

What's included - One live group session a month on Zoom, usually on the first Sunday at 6:30pm UK time, and membership of the Inner Circle WhatsApp community for parents. If a session date has to move (for example around Christmas or New Year), I will tell you in the community at least two weeks ahead.

Price and billing - Membership is a rolling monthly subscription paid by card through Stripe. You are charged when you sign up and then on the same date each month until you cancel. The price is the one shown at checkout.

Price changes - I will give at least 30 days' notice of any price change, so you can cancel before it applies.

Cancelling - You can cancel at any time, without giving a reason, by WhatsApp to Matt, or by emailing me directly. Cancellation takes effect at the end of your current billing month, so you can still attend the session you have paid for. Apart from your 14-day right to cancel (section 6), I do not refund payments for a month that has already started.

Missed sessions - If the athlete can't attend, the month's recap still goes to the WhatsApp community. I do not offer catch-up calls or credits for missed group sessions.

If I cancel a session - If I have to cancel a session and can't rearrange it within the same month, I will refund that month's payment.

Ending a membership - We may end a membership if the group agreement is seriously or repeatedly broken, or if payments fail and are not resolved. If we end a membership for any other reason, we will refund any month paid for but not yet delivered.

5. Parental consent and the group agreement

By ticking to accept these terms at checkout, you confirm that:

You are the parent or legal guardian of the athlete, and you give consent for them to take part in the coaching you have booked, including, for the Inner Circle, a live online group session with other young athletes.

You understand that sessions take place on Zoom with cameras on and first names used, and that you are responsible for the athlete having a suitable private space and device at home, with an adult in the house during the session.

You consent to sessions being recorded or transcribed for session notes and recaps, as set out in section 7.

The athlete and your family agree to the group agreement below:

You are happy to be added to the Inner Circle WhatsApp community for parents, used for session reminders, Zoom links, monthly recaps and tips. Athletes are not added.

You have read our Privacy Notice and Safeguarding Policy.

The group agreement

What's shared in the Circle stays in the Circle.

Cameras on, real first names.

One voice at a time; everyone gets their turn.

Encourage, never compare.

No recording, screenshots or sharing of the session by anyone taking part.

6. Your right to cancel within 14 days

Because you buy online, the law gives you 14 days from the day you pay to change your mind, for any reason. To cancel, email [email protected] within those 14 days.

If no sessions have taken place, I will refund you in full within 14 days of hearing from you.

If you asked for coaching to start within the 14 days and a session has already taken place, I will refund what you paid minus the value of the sessions already delivered.

This right is in addition to your other legal rights, and nothing in these terms affects your statutory rights.

7. Online sessions, safeguarding and communication

Online sessions. Sessions run on Zoom. You are responsible for a working internet connection and device. If my connection fails, I will make up the lost time or rebook the session.

Safeguarding.

I follow the Safeguarding Policy. Group sessions use a waiting room, a password, and no private messaging between participants. If an athlete shares something that raises a safeguarding concern, I will speak to the parent or guardian and, where the law or our policy requires, the relevant authorities.

How I communicate. For 1:1 programmes I use a shared WhatsApp group with the athlete's parent or guardian as where as the athlete where the parent has given consent. For the Inner Circle I use a WhatsApp community for parents only. I do not message athletes privately.

Recordings.

All 1:1 and Inner Circle sessions are recorded or transcribed so that Matt can prepare session notes and recaps for parents.

Recordings and transcripts are seen only by Matt, never shared, posted or used in marketing, and kept only as long as set out in our Safeguarding Policy and Privacy Notice.

Inner Circle recaps cover the month's skill and general themes, never what an individual athlete shared about themselves.

Nobody taking part may record, screenshot or share any session.

The materials. Session recaps, worksheets and other materials provided are for the athlete's personal use and may not be shared or sold.

8. Liability, privacy and the legal bits

My responsibility to you. I will provide coaching with reasonable care and skill. If I fail to, I am responsible for loss you suffer that was a foreseeable result. My total liability to you is limited to the fees you have paid me for the service concerned. Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit.

Your privacy - I handle your and the athlete's personal information as set out in our Privacy Notice.

Changes to these terms - We may update these terms from time to time. The version that applies is the one in force when you paid; for Inner Circle members, we will give 30 days' notice of any change that affects you.

Law - These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland, you can also bring proceedings in your local courts.
